Booking terms and conditions
Last updated: 13 October 2026
These terms explain how booking with Dimension Travel works, so there are no surprises. By confirming a booking or paying a deposit, you agree to these terms and to the conditions of the airlines, hotels and other suppliers in your booking. If anything is unclear, please shout before you book.

Dimension Travel arranges travel on your behalf with airlines, hotels, tour operators and other suppliers. Each supplier is responsible for providing its own service, under its own terms.
2. Quotes and prices
- Quotes are based on availability and prices on the day they are prepared. Nothing is held or guaranteed until it is booked and paid for, unless your quote says otherwise.
- Airfares, airport taxes and fuel surcharges can change until your tickets are issued. Prices quoted in or linked to foreign currencies can change with the exchange rate until paid in full.
- Advertised specials are "from" prices per person sharing, valid for the dates shown and subject to availability.
- Where a service fee applies, it is shown on your quote and invoice before you book.
3. Deposits and payment
- Your booking is confirmed once the required deposit or full payment is received and the supplier has confirmed it. The amount and due dates are shown on your invoice.
- Airline tickets usually have to be paid in full before they can be issued, often within a short time limit. I will always tell you the deadline and why it matters.
- If payment is not received by the due date, the supplier may cancel the booking or the price may change.
- Please use your invoice number as the payment reference.
4. Changes and cancellations
- Changes and cancellations follow the rules of each airline and supplier. Many airfares and specials are non-refundable or carry change and cancellation fees.
- Airline tickets are not transferable, and names usually cannot be changed once tickets are issued.
- Where a refund is due, it is paid to you once received from the supplier, less any supplier fees and any service fee shown on your invoice.
- If a supplier changes or cancels your arrangements, I will let you know as soon as I hear and help you with the alternatives or refund options available.
5. Passports, visas and health
- Names on bookings must match passports exactly. Please check your documents and tell me straight away if anything is wrong.
- Passports should be valid for at least six months after you return and have enough blank pages. Some countries have stricter rules.
- Getting the right passports, visas, vaccinations and health documents is the traveller's responsibility. I am happy to guide you, but final requirements are set by the authorities and can change.
- Children may need extra documents when travelling. Please ask me before you book.
6. Travel insurance
I strongly recommend comprehensive travel insurance from the day you book, covering cancellation, medical emergencies and lost luggage. Some countries require proof of medical cover. If you choose not to take insurance, you accept the risk of costs it would have covered.
7. Responsibility
- I will always arrange your travel with care and keep you informed.
- Dimension Travel is not responsible for the acts or failures of airlines, hotels and other suppliers, or for delays, cancellations, injury, loss or damage caused by them.
- Nor are we responsible for events outside anyone's reasonable control, such as weather, strikes, natural disasters, pandemics, war or government action. I will still do my best to help if any of these affect your trip.
8. While you travel
If something goes wrong on your trip, contact me as soon as possible on WhatsApp at +27 64 508 2553, so I can help sort it out with the supplier while you are still there. It is much easier to fix problems on the spot than afterwards.
9. Complaints
If you are unhappy with any part of your booking, please tell me first, and I will do my best to put it right. If we cannot resolve it, you can contact the Association of Southern African Travel Agents (ASATA) at asata.co.za.
10. Your information
How I collect and use your personal information is explained in the Privacy notice.
11. Law
These terms are governed by the laws of the Republic of South Africa. Nothing in them limits your rights under the Consumer Protection Act.
